The public inquiry form

Cloudflare hosts our public website and stores the name, email, recipient, occasion, story and date you submit. We save your inquiry when you send it, even if you never order a film, so Max can respond. Inquiries are deleted after 180 days, or earlier on request. A temporary hash of your internet address helps limit spam. Submitting an inquiry does not send your story to an AI model, place an order or start production. The film-production details below apply only if you later choose to work with us and give the required permissions.

The short version

• You send us your family's story, their photos and sometimes a song, so our studio can make one film for someone you love.
• Claude, an AI made by Anthropic, reads what you send (the story, the lyrics and the photos) to help us write the storyboard and draw everyone. It's the only outside service that ever sees your photos.
• Your photos are never sent to image or video generators, and never used to train AI: not by us, and not by Anthropic, whose commercial terms don't allow training on what we send.
• For anyone under 18 we ask for a parent's or guardian's permission, by name, before we start.
• We delete your photos and the song files you uploaded 30 days after we deliver the film, unless you ask us to keep them. You can ask us to delete everything, any time.
• We don't sell anything about you, show you ads or use trackers.

Who we are

What we collect

• From the person who orders the film: your name, phone number or email, and how you're related to the person the film is for.
• The story: what you write in the intake: names, chapters of a life, what a child loves, how a couple met, what people look like.
• Photos you upload, voice notes you record or upload, and a song if you bring your own.
• Your permission: what you agreed to, for whom, when, and the internet address it came from (so we can show it was you).
• Your picks and notes on the storyboard and the first cut.
• Reactions: if the person who opens the gift chooses to record their reaction, the video they send (see below).

We keep a short log of what the site does (for example, "a film's storyboard was redrawn"), without your photos or story in it.

Who sees it

• Our studio: the founder, and anyone who helps make the film, who works under the same rules.
• Claude, by Anthropic reads the story, the lyrics, the photos and the words of any voice notes, to write the songs and the storyboard and describe each person, so our studio can draw them. [Link to its terms and data retention to be added.]
• An image model (through fal.ai) reads our own drawing of one of the film's scenes: never a photo, a name or anything you wrote, to paint the looks you choose between. [Link to its terms and data retention to be added.]
• Cloudflare hosts this public website and its inquiry database. Hosting and handling of production files will be confirmed before you upload them.
• The person you give the gift to sees the finished film and its lyrics, on a link only you share.

No photo of yours is ever sent to an image or video generator. When we try AI tools for backgrounds or styles, they only ever get our own drawings and plain descriptions, never your photos.

Your photos may appear in the film itself: a slow move across a photo, a print on a table, a frame on a drawn wall, a person cut out of their photo. We prepare them on our own servers: turned upright, their hidden tags removed (including where they were taken), faces found and the people cut out. No outside service does any of it.

Children

A film about a child, or with children in it, needs a parent's or guardian's permission for each child, with their name, before we start. The gift page doesn't offer to record a reaction for a child's film unless the family turns that on.

How long we keep it

• Photos, voice recordings, and song files you uploaded: deleted 30 days after we deliver the film, unless you ticked "keep our photos" (for example, to make a second film). You can change your mind any time.
• The film, its storyboard and the song as it's used in the film: kept so the gift link keeps working. Ask and we'll delete them.
• Your film's link (the one we text you) stops working 90 days after we deliver the film, or sooner if you ask; we can always send you a new one. The gift link keeps working.
• Reaction videos: kept with the film, where only you and our studio can see them. You can delete any of them on your film's link.
• Backups: small daily copies of the site's records (never photos or videos) are kept for 14 days, so something you ask us to delete is gone from them within 14 days.

Your choices

• Ask us what we hold about you, to correct it, or to delete it: max@heirloom.pictures. We'll do it within 30 days, and tell you when it's done.
• Ask us to keep your photos after delivery, or to stop keeping them.
• Delete reaction videos yourself on your film's link.

Cookies

Families and gift recipients get no cookies from us. The studio's sign-in uses one cookie, only on its own devices.
